Start with the in-hand date, not the race date
If volunteers need two days to check quantities and arrange award tables, medals should arrive before race weekend. Record the address, postcode, receiving hours and who can accept the boxes. Ask your factory to put the agreed destination and required in-hand date on the quote or order confirmation.
Small race teams must balance budget and delivery timing. A late medal can undermine an event even when the metal finish looks excellent.
The stages that need separate time allowances
- Artwork and specification. Confirm logo, event year, dimensions, quantity per design, ribbon and packaging.
- Proof approval. Consolidate corrections to avoid repeated design cycles.
- Optional sample. Decide whether it must be physically delivered and approved before bulk production.
- Factory production. A written date depends on the approved artwork, materials and capacity.
- Inspection and packing. Allow time to address deviations before dispatch.
- International transport and customs. Ask for a current shipping quotation and realistic ETA to your receiving location.
Do not add up optimistic minimums and advertise the result as a guaranteed delivery promise.
What to request for the UK or US
Get a freight quote for the actual carton weight, volume and delivery postcode. Confirm the agreed trade term, whether any import tax or customs charges are excluded and who is responsible for import formalities. Requirements vary by destination and order, so obtain current guidance from your forwarder or customs specialist rather than treating an internet estimate as your landed cost.
Tell the factory if cartons go directly to a race venue, a school, a warehouse or a distributor. A venue may have restricted delivery windows or refuse shipments outside staffed hours.
When sourcing from China helps—and when local can be sensible
