RFQ checklist
| Item | Questions to answer | Reason |
|---|---|---|
| Award structure | How many categories and quantities per category? | This determines whether one mold can be shared and which details need changing. |
| Size and thickness | What should be visible from a presentation distance? | Large medals create impact but affect weight, ribbon choice and freight. |
| Front and back | Will names, dates, values or sponsor marks appear? | Back details may be molded, printed, engraved or left plain depending on the design. |
| Ribbon | Width, color, print, clip and neck length | Ribbon production and assembly should be included in timing. |
| Packaging | Bulk packed or individually bagged? | Distribution method affects labor, carton planning and event preparation. |
Cost control
Where the core design remains the same, award levels may sometimes be differentiated through plating, ribbon color, printed text or packaging. This can be more practical than creating a completely different shape for every category. Whether one mold can be shared depends on which artwork elements change.
Send a quantity breakdown for gold, silver, bronze, participation and special awards. The quotation should clearly identify shared and separate production elements.
Timeline
Confirm the in-hand date rather than only the event date. Allow time for artwork revision, digital proof approval, possible sampling, production, inspection, packing, international transit and local delivery. A late artwork decision can affect the entire schedule even when manufacturing time remains unchanged.
For repeat events, store the final approved specification and identify which elements will change next season. This reduces ambiguity when reordering.
