Custom Medal Quality Checklist Before Bulk Shipment

A polished digital proof is only the start. A practical quality plan also covers the finished metal surface, ribbon assembly, count and packing. Here is what to put into the approval brief before a China factory makes a bulk medal order.

Quick buyer answer

Agree the approved artwork and physical or digital reference, then check readable text, metal finish, color boundaries, sharp edges, attachment strength, ribbon print, quantities and protective packing. Request inspection photos for the actual shipment—not just catalog images—before dispatch.

Approve the specification before production

Many disputes begin because a buyer and supplier use different references. Finalize the front and back artwork, dimensions, finish, color process, ribbon width, packaging and acceptable product variation in writing. For an event medal, check the event name, year, race distance and sponsor spelling carefully.

Choose whether the approval route includes a physical sample. A digital proof shows layout and positioning; a physical sample helps assess weight, color, surface and handling. If an in-hand sample is required, it belongs in the timeline before mass production.

What photos to request before shipment

Ask for clear photos of a finished medal front and reverse, a side view showing thickness, a close-up of the ribbon attachment, the packing method, and marked cartons. A short inspection video can help when color, relief or attachment quality is hard to judge from one photograph. These are project-specific evidence requests; no buyer should infer that a marketing image shows their actual production batch.

For customized event stock, carton labels should separate award level or race distance. A beautiful medal is not useful if volunteers cannot locate the correct group on race morning.

How factory-side inspection supports overseas buying

One useful reason to work with a China manufacturer is the ability to discuss production and inspection requirements at the same source. Our Dongguan medal site shows production processes, quality practices and manufacturing evidence. That visibility is a starting point—not a substitute for a shipment-specific quality agreement.

A buyer in the UK, US or EU can also appoint an independent inspector when the project value or risk justifies it. Decide who checks, what sample size is inspected, and what happens if the agreed standard is not met before the goods ship.

Extra checks for events and race organizers

  • Separate finisher medals from podium or age-group awards.
  • Confirm left-to-right ribbon text orientation when worn.
  • Check the total count against registration, extras and staff allocation.
  • Confirm individual protection so medal faces do not rub in transit.
  • Include event name, distance and carton count on packing labels where required.

Pair this list with our event shipping deadline guide and the QC resource if the site's checklist applies to your order.

Inspection FAQ

Is a digital proof enough?

It is enough for some artwork approvals, but it cannot fully verify real metal weight, plating appearance or physical attachment quality.

Do all medals need individual inspection?

The appropriate inspection plan depends on order risk, complexity and agreed acceptance criteria; ask the manufacturer how it samples and checks the order.

Can factory photos replace a third-party inspection?

They provide useful transparency, but independently verified inspection may still be appropriate for higher-risk orders.

A related question from a buyer community

In a discussion about manufacturing enamel pins, buyers highlighted approving a production mockup and requesting photographs of actual finished pieces. Medal construction is different, but the practical lesson carries over: approve the specification and review order-specific evidence rather than relying on catalog pictures.
