Why a 500-piece race order needs an itemized budget
A real event order is not always “500 identical medals.” You may need finisher medals, podium awards, volunteers’ pieces and multiple race distances. A supplier cannot compare costs accurately until you state the quantity per design. Five separate designs of 100 medals may require different tooling from one design of 500.
For a community half marathon, define the finisher count from registration data and make a conscious decision about spare stock. Race-organizer discussions and buyer questions regularly return to the same practical challenge: managing medal quantities, the event budget and a firm date. Plan the complete order before comparing supplier prices—do not assume a headline price covers ribbons and delivery.
A simple 500-medal factory-budget example
| Cost item | How to budget |
|---|---|
| 500 standard medals | US$850–1,150 indicative (500 × US$1.70–2.30) |
| Custom mold / tooling | Quote separately for the actual size and relief |
| Physical sample | Agree whether required and how it is charged |
| Printed event ribbon | Request as an option against the plain-ribbon baseline |
| Special packing | Quote by packing method and quantity |
| International freight and import charges | Quote for your post code, delivery date and import terms |
These are planning figures, not a purchase offer or a price comparison with every local medal shop. A local supplier may quote a different construction, include delivery or work from ready-made blanks.
How a China manufacturer can help manage the cost
For a new custom shape, factory-direct sourcing can reduce layers of sales and coordination between the buyer and production team. In Dongguan, tooling, casting or stamping, enamel, plating, ribbons and packing can be coordinated around an approved specification. Those capabilities are useful when you need consistent medals across 500 or 1,000 units and several finish options.
The saving is not automatic. Complex cut-outs, deep 3D relief, very thick medals or printed ribbons can increase costs. The strongest cost-control request is: “Please quote the same artwork as a standard 2D design and as a premium 3D option.” You can then decide whether the visual difference is worth the price.
What to send your manufacturer for a comparable quote
- Event type, medal quantities per design and the required in-hand date.
- Logo or sketch, medal diameter or target dimensions and front/back requirements.
- Preferred 2D/3D relief, finish, color count, ribbon and packaging.
- UK, US or EU shipping country, postcode and receiving address type.
- Request separate lines for tooling, sample, medals, ribbon upgrades, shipping and any taxes.

500 custom race medals: quick buyer answers
Is 500 the minimum order?
No. Our stated MOQ starts at 100 pieces for an eligible custom medal design. For 500 medals, ask for the exact design and delivery quotation.
Are printed ribbons included in the reference price?
No. The quoted reference specification includes a plain polyester ribbon. Printed ribbons need their own confirmation.
Does the lower unit price guarantee a cheaper total order?
No. Compare tooling, samples, shipping, import charges and product construction together.
A related question from a buyer community
A volunteer race organizer described a limited nonprofit medal budget and asked about practical sourcing choices for about 150 swimmers. The event differs from a 500-medal order, but the same decision appears: compare the product, shipping and total event budget together. Read the race-organizer budget discussion on Reddit.
